Privacy & cookies
This notice covers visits to our public website and enquiries sent to Rapid Digital. It does not cover project records or accounts inside the separate RapidBIM and RapidFS testing applications.
Who is responsible
Rapid Digital Ltd, company number 15206879, registered in England and Wales, is responsible for the personal information it uses to handle website enquiries. Contact contact@rapiddigitaluk.com for privacy questions or to exercise your rights.
Information involved
- When you email us: your name, email address, business contact details and information you choose to include in your message or attachments.
- When you visit: our hosting and security providers process technical information such as IP addresses, request times, requested pages, browser information and security signals to deliver and protect the website.
The website has no enquiry form, public registration, payment facility or newsletter signup. We do not add advertising pixels or visitor-analytics tools to these public pages. Fonts are served from this website rather than a third-party font service.
Please avoid sending unnecessary sensitive personal information or confidential project material in an initial enquiry.
Why information is used
- Responding to business enquiries: our legitimate interests in communicating with prospective clients, understanding requests and managing business relationships. Where you personally ask us to take steps towards a contract with you, those steps may instead be necessary for that contract.
- Website delivery and security: legitimate interests in providing a working website, preventing misuse and investigating technical or security problems.
- Legal responsibilities: compliance with legal obligations where information must be retained or disclosed for that purpose.
You do not have to send an enquiry. If you do, we need enough contact information to respond. These public pages do not make automated decisions that have legal or similarly significant effects on you.
Service providers and sharing
The website is published through OpenAI Sites and delivered using Cloudflare infrastructure. Hosting and security providers handle technical visitor information as part of that service. Email and business IT providers handle correspondence; professional advisers or authorities may receive relevant information where needed for advice or a legal obligation.
We do not sell enquiry information or use it to build advertising audiences. Application sign-in links take you to separate services only when you follow them; they are not embedded login forms on this website.
Processing outside the UK
Hosting and security infrastructure operates internationally, so technical visitor information may be processed outside the UK, including in the United States. Cloudflare describes its international processing and transfer arrangements in its privacy policy. OpenAI describes its handling of personal data in its privacy policy.
For information about the providers handling a particular enquiry, processing locations and applicable transfer safeguards, please contact us. Provider documentation is not a certification of Rapid Digital’s own compliance.
How long information is kept
Enquiry correspondence is kept according to its purpose: whether the enquiry is still active, whether it becomes a client engagement, and whether a record is needed for contractual, legal, accounting or dispute-resolution purposes. These factors determine the appropriate retention period rather than one period for every email.
Hosting providers manage technical and security records under their own service arrangements. A security cookie’s expiry does not mean all related security logs are deleted at that time. You can ask us about retention of information relating to you.
Your rights
Depending on the circumstances and lawful basis, you can ask to access or correct your personal information, request erasure or restriction, and request a portable copy where that right applies. These rights are not absolute; legal obligations may require some information to be retained.
You can object to processing based on legitimate interests. Email us to explain your objection or make a rights request. We may need proportionate information to verify your identity before disclosing personal information.
Data-protection complaints
If you are concerned about how we have handled personal information, email contact@rapiddigitaluk.com with the subject “Data protection complaint”. Explain your concern and the outcome you are seeking. You do not need a special form.
We will acknowledge a data-protection complaint within 30 days, investigate it appropriately and communicate the outcome without undue delay. You can also complain to the UK Information Commissioner’s Office: ico.org.uk/make-a-complaint.
Private product testing
RapidBIM and RapidFS are invite-only applications currently in live testing. Before submitting personal or project data to a testing workspace, ask for the information and agreements relevant to that application and your project. This website notice does not authorise use of project data or replace product-specific privacy information.
